Privacy Policy
Effective 5 October 2026
The short version. Closingly records only the calls you switch it on for, and the notetaker is always visible to everyone on the call. We use your data to run Closingly for you and nothing else. We don’t sell it, we don’t show you ads, and we never use your data or your Google data to train AI models. You can export or delete your account at any time.
1. Who we are
Closingly (“Closingly”, “we”, “us”) is an AI sales assistant for freelancers, consultants, agencies and other people who sell their own work. Closingly is based in Pakistan. This policy explains what information we collect, why, who we share it with and the choices you have.
It covers our website at closingly.app, the founding beta application form, and the Closingly web app. If you have a question about it, email privacy@closingly.app.
2. Information we collect
When you apply for the founding beta
- Your name and email address.
- What best describes you (for example freelancer or agency) and roughly how many sales calls you take a month.
- Your country, which we suggest from your browser’s time zone, and the time zone itself.
- Where you came from, such as the website that linked you to us or a campaign tag in the link.
When you create an account
- Your name, email address and profile picture from your Google account, used to sign you in.
- The details you give us about your business during setup, such as the services you offer, who you sell to, how you usually price your work, your currency, your minimum project size, your website and how you like your proposals to look.
From your Google account, with your permission
- Google Calendar (read only). The title, time, attendees and meeting link of your calendar events, so Closingly can show your upcoming calls and join the ones you choose. We cannot create, change or delete your events.
- Gmail (send only). Permission to send an email from your Gmail address when you choose to send a follow-up from Closingly. We cannot read, search or delete anything in your inbox.
Your calls
- For calls you switch Closingly on for, a notetaker named “Closingly Notetaker” joins the call as a visible participant and records it. We receive the recording and a transcript of what was said, including what other people on the call said.
- If you paste in a transcript from another tool, we receive that transcript.
What you create in Closingly
Deals, proposals, prices, notes, follow-ups, proposal designs and your conversations with Ask Closingly, the assistant inside the app.
When your clients view a proposal you shared
When someone opens a proposal link you shared, we record when it was opened, how long it was read, which sections were viewed, the browser type and the page that linked to it. To tell repeat visits apart, we store a scrambled code made from their IP address. It is different for every proposal, so it can’t be used to follow someone across proposals, and we don’t store the IP address itself.
If they approve the proposal or ask for changes, we also record the name and, if they give it, the email address they type, their message, the time, their browser type and the same scrambled code, along with a copy of the proposal as it stood when they answered. That record is the proof of what was agreed, and it is shown only to the person who sent the proposal.
Technical information
- IP addresses, used briefly to limit abuse and keep the service secure.
- Error reports when something breaks, which may include the page you were on and your browser type. We don’t record your screen or your sessions.
- Essential cookies in the app that keep you signed in. The app uses no advertising or analytics cookies, and nothing on our website is used for advertising.
- Visit statistics for our website through Cloudflare Web Analytics: which pages are viewed, the referring site, browser, device type, country and page load speed. It uses no cookies and doesn’t identify you or follow you across other sites.
- The demo video on our website. The short silent clip that plays when the page opens is served from our own website. When you press play, the full demo streams from Mux, which receives your IP address and browser details to deliver it and measures how well it plays (how long it took to start, any buffering or errors). Mux sets no cookies on our website.
- When you send the founding beta form, Cloudflare Turnstile checks that a person, not a bot, is sending it. It loads only once you start filling in the form and reads signals from your browser to make that check.
- Website analytics through Google Analytics: the pages you view, how you arrived (the referring site or campaign link), your browser and device, your approximate location (country and city, worked out from your IP address, which Google doesn’t store) and what you do on the page, such as playing the demo, opening a question or sending a beta application. It never receives your name or email. It sets cookies (
_gaand_ga_9S64ZB03KB) that recognise a returning browser for up to 13 months, with advertising features turned off. If you’re in the European Economic Area, the United Kingdom or Switzerland, these cookies are only set after you accept; until then Google receives anonymous signals without cookies. You can change your choice at any time with .
3. How we use your information
- To run Closingly for you: joining and processing your calls, drafting proposals, recommending prices, tracking deals, drafting follow-ups, showing how clients engage with your proposals and answering your questions in Ask Closingly.
- To base pricing and win and loss insights on your own past deals.
- To run the founding beta: reviewing applications, inviting people and emailing you about your spot.
- To keep Closingly secure, prevent abuse and fix problems.
- To contact you about your account, changes to Closingly and these policies.
We don’t sell your information, use it for advertising, or share it with anyone to market to you.
4. How AI is used
Closingly uses AI models to read your call transcripts and deal details and turn them into proposals, prices, follow-ups and answers. To do that we send the relevant text to our AI providers, listed in section 7, through their business APIs. They process it to return a result to us.
We do not use your data, your calls or your Google data to train AI models. Anthropic, which processes your transcripts and deal details, does not train its models on data sent through its business API. AI output can be wrong, so Closingly always shows you drafts to review. Nothing is sent to a client without your say.
5. Google user data
Closingly’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We only use Google Calendar and Gmail data to provide the features described in this policy, which you can see and control in the app.
- We don’t transfer it to anyone except as needed to provide those features, to comply with the law, or as part of a merger or sale where you are notified first.
- We never use it for advertising, and we never sell it.
- We never use it to develop, improve or train generalized AI or machine learning models.
- People at Closingly don’t read it unless you ask us to (for example to help with a support request), it is needed for security or to investigate abuse, or the law requires it.
You can remove Closingly’s access at any time from your Google account permissions.
6. Recording and consent
The Closingly Notetaker only joins the calls you switch on, and it appears in the call under its own name so everyone can see it. It never records in secret. Laws on recording calls differ between countries and states, and some require everyone on the call to agree. You are responsible for telling the people on your calls that the call is being recorded and for getting their consent where the law requires it. Anyone on the call can ask you to remove the notetaker.
7. Who we share information with
We share information only with the service providers that help us run Closingly, and only what each one needs to do its job:
| Provider | What they do for us | Where |
|---|---|---|
| Supabase | Database and sign-in. Stores your account, deals, proposals and beta applications. | Singapore |
| Cloudflare | Hosts our website and app, delivers our pages, receives beta applications and checks them with Turnstile, measures website visits without cookies and forwards email sent to closingly.app addresses. | Global network |
| Recall.ai | Runs the meeting notetaker, records your calls and produces transcripts. | United States |
| Anthropic | AI models that draft proposals, prices, follow-ups and answers. | United States |
| Sign-in, Google Calendar and sending follow-ups through Gmail when you choose to. | Global | |
| Sentry | Error reports so we can find and fix problems. | United States |
| Mux | Streams the full demo video when you press play and measures how well it plays. | United States |
| Google Analytics | Measures how people find and use our website, with advertising features turned off. | United States |
We may also share information if the law requires it, to protect the rights and safety of our users or others, or as part of a merger, acquisition or sale of Closingly, in which case this policy continues to apply and we will tell you first.
8. International transfers
Closingly is run from Pakistan, and our providers store and process data in the countries listed above. By using Closingly, your information may be transferred to and processed in countries other than your own. We choose providers that protect data with strong security and contractual safeguards.
9. How long we keep information
- Your account and everything in it: for as long as you have an account. When you delete your account, we delete your account data from Closingly straight away, apart from copies in backups, which expire within 30 days.
- Call recordings: held by Recall.ai under its retention settings and available to you through expiring playback links. Email privacy@closingly.app to have a recording removed sooner.
- Beta applications: until the founding beta ends. If you don’t join Closingly, we delete your application within 12 months after that. You can ask us to delete it at any time.
- Error reports and security logs: no longer than 90 days.
10. Your rights and choices
Wherever you live, you can:
- See and export your data. Signed-in users can export everything from their account settings.
- Correct anything that’s wrong.
- Delete your account and its data from your account settings, or ask us to remove a beta application.
- Withdraw Google access at any time from your Google account permissions.
- Object to how we use your data or ask us to limit it.
For anything you can’t do in the app, email privacy@closingly.app. We reply within 30 days. If you’re in a country with a data protection authority, you can also complain to it.
11. Security
We protect your data with encryption in transit and at rest, and database rules that keep every account’s data separate from every other account’s. Only the people who need access to run Closingly have it. No system is perfectly secure, and if we learn of a breach that affects your information we will tell you without undue delay.
12. Children
Closingly is for professionals and is not meant for anyone under 18. We don’t knowingly collect information from children. If you think a child has given us information, email us and we’ll delete it.
13. Changes to this policy
We may update this policy as Closingly changes. We will post the new version here with a new effective date, and for significant changes we will email you or show a notice in the app before they take effect.
